Whether you are a busy parent trying to organise a child's birthday party or a business owner planning a motivational event for staff, it pays to put concrete plans in place as early as possible. Guest List : Hopefully as host, you will know exactly who will be attending your event but when we talk about "Who" the guests are we are really prompting you to dig a little deeper. Ask yourself questions such as, are the guests mainly attending as couples, do the guests know each other, is there a spread of ages. Getting answers to these questions will help you to organise appropriate entertainment and seating plans.

Type of Event : Be very clear what type of event you are hosting. Is it a social event , a charity event or a corporate event. How you plan and design the party will be heavily determined by the type of event it is.

Event Timings : Until you set a date and time for the event you will not be able to send the invitations so this element of the event should be top of your "to do" list. You not only have to confirm the date but the timings also need careful consideration. For certain corporate events such as product launches there can be very limited windows of opportunity so you need to be ready to grab a venue if it becomes available. you also need to consider the schedule of the guests. this particularly the case with corporate events. time may be limited so you need to ensure yours timings allow for maximum impact.

Event Location : When selecting a location for your event there are a number of factors to consider including accessibility and the availability of accommodation but top of the "decision tree" should be the weather. Outdoor activities / options always add to an event so choosing Nebraska in the middle of Winter may not be the best choice.

Why Host an Event : For larger events that involve entertaining business partners / customers or raising money for charity the organisation of the event needs to be approached in a very professional manner. The reason for the event needs to be very clearly defined, particularly if the organisation of the event is been handled by hired professional help. With a clear focus, elements such as budgeting, entertainment and location are much easier to prioritise.

A badly organised event can cause more damage to a company's reputation than no entertainment at all. If a decision is made to host an event then it must compliment and enhance the company's / charity's reputation and standing. There is only one way to guarantee such a result and that is to plan the event thoroughly in a structured fashion.

Finding the time to organise an event can be very difficult. It takes time and effort to get all the details just right. If that is the case try interviewing a few professional event organisers and you might be pleasantly surprised at just what goosd value their services can be.
